The Admin team in Hamburg is looking for a well-organized, hands-on and service-oriented Front Desk & Admin Manager to take on various administrative tasks in close cooperation with the Front Desk in the Lübeck office and ensure smooth operations within our organisation.
Job Responsibilities
- As the first point of contact for visitors, guests, and colleagues, you represent the
Oldendorff reception in Hamburg. - As a member of our Office Management team, you will oversee front desk
operations, coordinate office services, and manage a variety of administrative
tasks. - You will support the Team Lead with daily and weekly tasks as well as special
projects. - Your responsibilities include answering incoming calls, managing mail and courier
services, issuing access cards, coordinating parking arrangements, handling taxi
services and distributing train tickets. - You will ensure meeting rooms are prepared and equipped, coordinate office
catering, and process invoices. - Additional responsibilities include arranging accommodation and restaurant bookings, as well as organising etxernal meeting rooms and event venues.

- Proven experience is strongly preferred.
- Fluency in German and English (spoken and written).
- Excellent organizational skills with the ability to prioritize tasks effectively.

- Proficient in Microsoft Office.
- Capable of working independently while contributing effectively within a team.
- Detail-oriented with a commitment to maintaining high standards of efficiency and
professionalism.
